
Volunteer & Staff Confidentiality Policy

Anchored Pathways to Higher Education is committed to protecting the privacy, dignity, and trust of the students, families, volunteers, donors, partners, and community members it serves. Staff, volunteers, contractors, interns, board members, and any other individuals acting on behalf of Anchored Pathways may have access to confidential, sensitive, or personally identifiable information in the course of their work. This policy explains the expectations for safeguarding that information.
Purpose
The purpose of this policy is to protect personal information, support ethical and professional conduct, reduce the risk of unauthorized disclosure, and maintain trust with the communities Anchored Pathways serves. Confidentiality policies commonly cover information about people served, staff, volunteers, donors, organizational records, and any sensitive data accessed through service roles.
Who This Policy Applies To
This policy applies to:

Employees.

Volunteers.
-
Contractors and consultants.

Interns.
-
Board members.
-
Program partners or temporary support personnel who may access information through Anchored Pathways systems, events, forms, files, or communications.
Anyone who serves in one of these roles is expected to protect confidential information during their time with Anchored Pathways and after that relationship ends. Confidentiality obligations commonly continue beyond the end of volunteer or staff service.
What Is Confidential Information
Confidential information includes any nonpublic information learned through work with Anchored Pathways that could identify, affect, or concern a student, parent, guardian, family member, volunteer, donor, staff member, contractor, partner, or the organization itself.
This may include, but is not limited to:

Names, phone numbers, email addresses, home addresses, dates of birth, and other identifying information.

Student grade levels, school information, educational goals, advising notes, intake details, attendance, or participation records.

Parent or guardian information.

Immigration-related, documentation-related, financial, health-related, or other sensitive family circumstances, if shared.

Meeting notes, internal communications, referrals, case-related follow-up, or records of support provided.

Donor information, giving history, sponsorship details, and financial records.

Volunteer applications, background check information, references, internal evaluations, or personnel-related information.

Login credentials, internal documents, organizational plans, and other nonpublic records.
Core Confidentiality Expectations
All covered individuals must:

Access only the information necessary to perform their assigned role.

Use confidential information only for legitimate Anchored Pathways purposes.

Keep information private and avoid discussing it with anyone who does not have an authorized need to know.

Protect documents, devices, messages, and files from unauthorized access.

Follow all organizational instructions related to privacy, records, security, and communication.
Volunteers and staff should not discuss confidential information with friends, family members, other participants, other organizations, or anyone outside approved organizational channels. Sample school and nonprofit agreements consistently prohibit discussing student or client information outside authorized duties, including with family members.
Student and Family Information
Because Anchored Pathways serves high school students and families, special care must be taken with student and family information. Volunteers and staff are not authorized to release, comment on, or share personally identifiable student or family information unless specifically authorized and required as part of their role. Student privacy agreements commonly restrict access and disclosure to a need-to-know basis only.
Volunteers and staff may not:

Share student records, form responses, intake details, or meeting notes outside approved channels.

Post or discuss identifiable participant information in public or semi-public spaces.

Take screenshots, photos, downloads, or copies of records for personal use.

Use student or family information for personal, political, religious, business, or non-Anchored Pathways purposes.
Conversations and Public Settings
Confidential information should never be discussed in hallways, waiting areas, events, restaurants, rides, social settings, on social media, or in any environment where others could overhear or view private information. Sample confidentiality policies specifically warn against inadvertent disclosure in public places or by leaving documents visible.
Even within Anchored Pathways, confidential matters should be discussed only with the appropriate staff, supervisor, or designated leadership contact and only when relevant to the work being performed.
Electronic Records and Technology Use
Confidential information must be handled carefully in digital systems. Staff and volunteers should use organization-approved tools and should avoid storing confidential records on unsecured personal devices, personal email accounts, or unapproved shared drives whenever possible. Student privacy guidance emphasizes limiting use of personal/shared devices and relying on approved systems.
Covered individuals must:

Protect passwords and login credentials.

Log out of systems when not in use.
-
Avoid forwarding confidential information to personal accounts unless expressly authorized.

Avoid downloading or saving records unless necessary for assigned work and approved by leadership.

Promptly report lost devices, suspicious access, or mistaken sharing of private information.
Media, Photos, and Recordings
Access to student, family, event, or volunteer photos and recordings must be handled in accordance with Anchored Pathways’ Photo & Video Release and any applicable consent process. Volunteers and staff may not post identifiable photos, videos, or stories about students or families from Anchored Pathways activities without organizational authorization and applicable consent.
Reporting Concerns
Questions about confidentiality, uncertain situations, or suspected breaches should be reported promptly to Anchored Pathways leadership. Sample volunteer agreements commonly instruct volunteers to raise confidentiality questions with a supervisor or administrator rather than making judgment calls alone.
Examples of concerns that should be reported immediately include:

Lost or stolen devices containing organization information.

Accidental sharing of a private email, file, or message.

Unauthorized access to records.
-
A request for information from someone outside the organization.

Any uncertainty about whether information may be shared.
Return and Destruction of Information
When a volunteer, employee, contractor, or other covered individual ends service with Anchored Pathways, that person must return or securely delete confidential information, documents, files, notes, reports, credentials, and other materials in their possession, as directed by the organization. Sample nonprofit confidentiality policies commonly require return of confidential materials at the end of service.
No one may keep copies of confidential records for personal reference or future use after their role ends.
Consequences of Violations
Unauthorized disclosure, misuse, careless handling, or improper retention of confidential information is a serious matter. Depending on the circumstances, a violation of this policy may result in corrective action, removal from volunteer duties, termination of employment or service, restriction of access, or other action deemed appropriate by Anchored Pathways. Sample nonprofit confidentiality policies describe unauthorized disclosure as a serious breach of trust that may justify ending the relationship.
No Permission to Release Records
Nothing in this policy gives volunteers or staff independent authority to release records, answer outside questions about specific students or families, or provide information to third parties. Any request for confidential information should be referred to Anchored Pathways leadership unless the person has been expressly authorized to respond.
Policy Review
Anchored Pathways may update this policy from time to time as its programs, technologies, staffing structure, volunteer model, or privacy practices evolve. Updated versions will be maintained with organizational policies and may be reissued during onboarding or training.
